Terms of Use

These Terms of Use (“Terms”) govern access to and use of the internal scheduling platform operated byGhaf Group atcal.ghafgroup.com(“Platform”). The Platform is self-hosted using the open-source Cal.com software and is provided for internal business use only.

By accessing or using the Platform, you acknowledge that you are an authorized Ghaf Group team member and you agree to be bound by these Terms and by applicable internal policies.

1. Eligibility and Access

Access to the Platform is restricted to individuals who:

• Are employed by or otherwise formally engaged with Ghaf Group; and
• Have been granted access rights by our IT or administrative teams; and
• Authenticate using their authorized Google Workspace account.

The Platform is not intended for public use, and external sign-ups are not permitted.

2. User Accounts and Authentication

Access is provided through Google authentication. You are responsible for:

• Maintaining the confidentiality and security of your Google account credentials;
• Ensuring that your account is used only by you and only for legitimate Ghaf Group business purposes;
• Immediately reporting any suspected unauthorized access or security incident to the relevant internal contact.

Ghaf Group may suspend or terminate access to the Platform at any time if misuse is suspected or your relationship with Ghaf Group ends.

3. Acceptable Use

You agree to use the Platform in a professional and responsible manner. In particular, you must not:

• Use the Platform for any unlawful, fraudulent, or malicious activity;
• Interfere with or disrupt the normal operation of the Platform or underlying infrastructure;
• Attempt to gain unauthorized access to other users’ data or to administrative functions;
• Upload or store content that is offensive, discriminatory, or unrelated to Ghaf Group business;
• Introduce malware, automated scripts, or any other harmful code;
• Use the Platform to process highly sensitive personal data unless explicitly approved under internal policy.

4. Scheduling and Meeting Data

The Platform is designed to schedule and manage meetings, including booking times and participants. You are responsible for:

• Ensuring that meeting details you create are accurate and appropriate;
• Respecting confidentiality and only including information necessary for scheduling;
• Complying with any internal guidance on what should or should not be stored in calendar systems.

5. Logging, Monitoring, and Privacy

For security, troubleshooting, and operational purposes, Ghaf Group may log and monitor activity on the Platform, including:

• Login attempts and authentication events;
• Technical information such as IP addresses and browser details;
• API usage and error logs.

Our handling of personal data is further described in thePrivacy Policy, which forms part of these Terms.

6. Intellectual Property

The underlying open-source Cal.com software is subject to its own licensing terms. Configuration, integrations, custom code, and content created within the Platform for Ghaf Group business are the property of Ghaf Group, unless otherwise specified by contract or internal policy.

You must not copy, redistribute, or expose internal configuration details or non-public information about the Platform to third parties without proper authorization.

7. Service Availability and Changes

The Platform is provided on an “as available” basis for internal use. Ghaf Group may:

• Modify, update, or upgrade the Platform at any time;
• Temporarily suspend access for maintenance, security measures, or technical issues;
• Discontinue the Platform or migrate to another system, with reasonable internal notice where practicable.

While we aim to maintain a reliable service, we do not guarantee uninterrupted availability.

8. No Warranties

To the maximum extent permitted by applicable law, the Platform is provided “as is” and “as available” without warranties of any kind, whether express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, or non-infringement.

9. Limitation of Liability

To the maximum extent permitted by applicable law, Ghaf Group will not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to your use of the Platform, even if advised of the possibility of such damages.

Internally, any issues or disputes relating to use of the Platform will be managed through Ghaf Group’s applicable HR, IT, or management processes.

10. Compliance with Laws and Policies

You agree to comply with all applicable laws and regulations in the United Arab Emirates, as well as all relevant internal policies, procedures, and codes of conduct when using the Platform.

11. Termination of Access

Ghaf Group may suspend or revoke access to the Platform at any time, including but not limited to situations where:

• Your employment or engagement with Ghaf Group ends;
• You are believed to have violated these Terms or internal policies;
• Security or operational concerns require immediate action.

Termination of access does not limit Ghaf Group’s right to pursue other remedies where appropriate.

12. Amendments to These Terms

Ghaf Group may update or amend these Terms from time to time. The latest version will be made available athttps://cal.ghafgroup.com/terms(or an equivalent internal page) and will indicate the date of the most recent update.

Continued use of the Platform after changes to the Terms are published constitutes acceptance of the updated Terms.

13. Governing Law

These Terms are governed by and construed in accordance with the laws of the United Arab Emirates. Any internal disputes arising in connection with the Platform will be handled through Ghaf Group’s internal procedures and, where necessary, in accordance with applicable UAE law.
